Dear keynote speakers, workshop chairs, session chairs and floor managers,
This page has been composed specifically for your information and will provide you some guidance about how to deal with the segments which you have been assigned.
GENERAL ISSUES
About the blended format:
• All segments will be developed online.
• Microsoft Teams® is the chosen communication platform. You need a license to use it as regular software, but its use within a web browser is free.
• In order to access each of the scheduled segments of the conference which are reserved for registered attendees you need a link. You can find all the necessary links in this page: [CLICK HERE]
• When clicking on a given link for a given segment your browser will take you to the correspondent Teams meeting.
About the agenda and timing:
• Keep always in mind that all schedules have been composed with Central European Time, UTC +01:00.
• Up to four keynote lectures, one plenary panel discussion and three parallel workshops have been scheduled. Please, verify the time of your segment in the program of the event: [CLICK HERE]
• Up to seven different parallel sessions have been scheduled: three on Thursday, three on Friday and one on Saturday. All parallel sessions have been programmed in the European afternoon which is the American morning, but the one on Saturday when just European authors have been included.
Before and after the session:
• Lecturers, chairs and managers are requested to enter their session 15 minutes prior to its official starting time.
• Once the session time has finished, those participants which wish to carry on with the debate can stay in the meeting or switch to the channel called “Lounge”.
KEYNOTE SPEAKERS
About the agenda and timing:
• Each keynote lecture is supposed to last 90 minutes: 5-10 minutes for the presentation by the anchor that has been scheduled, 45-60 minutes for the lecture and the rest for some questions, answers and debate.
About the dynamic of the session:
• All sessions will be handled in English.
• Please, make sure that your computer is equipped with a camera, a microphone and earphones. The use of speakers is not recommended since they usually entail uncomfortable echoes and feedback sounds.
• Each lecture will have the participation of an anchor at the very beginning, a Floor Manager who will handle the later debate and who will always be Ivan Cabrera, and an IT Manager based in Valencia. The Floor Manager will manage the chat of the meeting letting the session chair know if there are questions from the audience. Connectivity issues have to be addressed to the floor manager who will contact the IT manager if needed.
• All Keynote Speakers are invited to use a PowerPoint presentation or similar to support their intervention. Presentations DO NOT have to be emailed to the organization. Each keynote speaker will screen share and will control the sequence of slides.
WORKSHOPS CHAIRS
About the agenda and timing:
• Each workshop has been designed by each Workshop Chair and all agendas have been approved.
About the dynamic of the session:
• All sessions will be handled in English.
• Please, make sure that your computer is equipped with a camera, a microphone and earphones. The use of speakers is not recommended since they usually entail uncomfortable echoes and feedback sounds.
• Each workshop will have the participation of a Workshop Chair, a Floor Manager who will take care of the chat in order to check technical issues or questions from the audience. Connectivity issues have to be addressed to the floor manager who will contact the IT manager if needed. Floor Managers assigned are Ivan Cabrera for Hazem Rashed-Ali and Núria Matarredona, María Piqueras for Débora Domingo, and Juan María Songel for Ahmed Ali.
• All participants are invited to use a PowerPoint presentation or similar to support their intervention. Presentations DO NOT have to be emailed to the organization. Each participant will screen share and will control the sequence of slides.
PARALLEL SESIONS OF PAPERS & POSTERS PRESENTATIONS: SESSION CHAIRS AND FLOOR MANAGERS
About the agenda and timing:
• Each parallel session includes about five presentations. Please, find the detailed agenda of presentations here: [CLICK HERE]
• All full papers and posters can be found here: [CLICK HERE]
• The order within each parallel session is not definitive. The Session Chair can rearrange it. If so or if the Session Chair wants to provide the authors of his/her session with specific instructions, he/she must email them and tell them so.
• The email addresses of all authors can be found here: [CLICK HERE]
• Each author should have from 10 to 12 minutes for each presentation. The Chair Session is responsible for controlling the timing. After each presentation or when all of them have been completed a lapse for questions and debate has been scheduled. The Session Chair will handle the debate. The Floor Manager will control the chat and will warn the Session Chair if there are any relevant issues during the presentations or if there are questions during the debate. If there are any technical issues, the Floor Manager will contact the IT Manager assigned.
• Upon completion of the session, each Session Chair will inform his/her Floor Manager which is, in his/her view, the best paper and the best poster if so. The works chosen will compose the shortlist for the event final awards.
About the participation:
• At least one of the authors has to be registered in order to make the presentation. If you cannot find the name of any of them in the list of emails provided, please, email us to: eaae.arcc.2020@upv.es
• Very few posters have been received in this edition of the conference. Therefore, occasional posters will be presented along with full papers during regular parallel sessions.
About the dynamic of the session:
• All sessions will be handled in English.
• Please, make sure that your computer is equipped with a camera, a microphone and earphones. The use of speakers is not recommended since they usually entail uncomfortable echoes and feedback sounds.
• Each session will have the participation of a session chair, a floor manager, an IT manager, authors presenting their full papers or posters, and possible audience composed by other registered attendees. The session chair will anchor the session, give the word to the different authors, monitor the time and coordinate the debate. The floor manager will manage the chat of the meeting letting the session chair know if there are questions from the audience. Connectivity issues have to be addressed to the floor manager who will contact the IT manager if needed.
• All authors are invited to use a PowerPoint presentation or similar to support their intervention. Presentations DO NOT have to be emailed to the organization. Each author will screen share and will control the sequence of slides.
• On a voluntary basis, authors can record their presentations and email the MP4 or AVI file to the organization to eaae.arcc.2020@upv.es if they fear some connectivity issues. In any case, the online attendance of all authors during their parallel session is required.
